The Scheduling Manager is an administrative position responsible for the management of both program and office-based employee schedules according to officially approved structures and scheduling conventions. The Scheduling Manager position has a focus on managing the coordination of client services and emergent staffing and scheduling issues.

Duties:

  • Maintains and updates MITC scheduling technology to reflect real-time staffing as well as operational needs and requirements.
  • Administers and manipulates MITC scheduling technology to compute the most efficient and compliant employee schedules.
  • Manages timekeeping and time reporting processes and enforces policies in accordance with management.
  • Prepares scheduling assignments on a weekly and monthly basis.
  • Coordinates employee meetings, events, and mandatory gatherings to ensure mandatory attendance. Tracks and enforces mandatory attendance at required meetings.
  • Complies with official policies and conventions on scheduling, required coverage, and attendance.
  • Consistently ensures the accuracy of database and file information for both employees and clients.
  • Communicates regularly with operational and program management to understand client and management needs. Cultivates knowledge of Program status. Constantly coordinates updates and changes with management, including new clients, terminating clients, transfers/moves, etc.
  • Ensures safe and compliant coverage of all operational needs.
  • Prepares forms and procedures for schedule and attendance requests.
  • Manages time off requests and coordinates with staff schedules.
  • Distributes and internally publishes schedules and assignments.
  • Cultivates an environment of compliance and adherence to schedules.
  • Enforces attendance policies and adherence to scheduling parameters and processes.
  • Documents attendance and records actual staffing assignments as they happen including any changes to the original schedule.
  • Responsible for record-keeping in regard to New Jersey Sick leave.
  • Prepares reports regularly or as requested regarding attendance, scheduling, client needs, operational needs, and other related areas
  • Maintains client and employee confidentiality.

 Qualifications:

  • A strong customer service attitude.
  • Ability to plan, organize and prioritize work activities in order to meet deadlines despite time constraints and interruptions. Highly organized and proficient inefficiencies.
  • Ability to evaluate problematic situations and adapt to and respond appropriately in order to resolve the issue
  • Computer and technology skills adequate to quickly become proficient in MITC software.
  • Effective writing and oral communication skills.
  • Proficient in Microsoft Office applications.
  • Ability to remain calm under pressure with high attention to detail

 

Education and/or Experience

  • Bachelor's degree in business, management, or related field preferred, or equivalent experience.
  • 1 or more years of prior scheduling/staffing experience, preferably with in-home care or other healthcare-related fields.
  • Prior supervisory experience is preferred.
